After submitting an abstract

What happens next

  • Receipt of your abstract will be confirmed by an automatically generated e-mail within 24 hours. 
  • If you do not receive an automatically generated e-mail, the abstract has not been submitted. Return to the Abstract Form and finalise the abstract submission procedure before 20 January 2017
  • You will be informed about the review outcome by e-mail before 15 February 2017
  • The presenting author must register and pay the registration fee by 1 March 2017 (also the deadline for early registration)
  • If the presenting author has not registered and paid by 1 March 2017 the author will be informed by e-mail that the abstract has been cancelled

Poster presentation

All the posters will be on display from Monday 1 May to Thursday 4 May.

Poster presenters will be asked to be standing by their poster to answer questions from Conference delegates from 16:00 – 17:00 hrs on either Monday 1 May, Tuesday 2 May or Wednesday 3 May.
Which day will depend on the topic of the poster:
Monday 1 May: TRACK A
Tuesday 2 May: TRACK B
Wednesday 3 May: TRACK C and TRACK D

Guidelines for Poster Presenters

Posters will be displayed in the ATRIUM from Monday 1 May to Thursday 4 May.
The ATRIUM is the large hall adjacent to the ROTONDE, the main conference hall.

Poster board size
The poster boards are PORTRAIT 125cm high x 100cm wide.
The text on a poster should be easy to read from a distance of 1 to 2 metres.
We recommend you pin several hand-outs of your poster to the poster board ready to give to interested delegates.

Putting up and removing posters
You can mount your poster on Sunday 30 April between12:00 and 20:00 hrs and Monday before 10:00 hrs.
Velcro for putting up your poster is available at the Conference desk.

Presenters must remove their poster on Thursday 4 May between 13:00 and 14:00 hrs.

All poster presenters are responsible for putting up and removing their own poster in a proper way. If presenters do not remove their poster in time, CMV2017 is not responsible for any damage to the poster that may occur if it is removed by staff members.

Guidelines for Oral Presenters

Presentation date and time
•    All oral presentations will take place in the ROTONDE.
•    The time allotted for oral presentation is 15 minutes including 5 minutes for discussion.
•    You can find the exact date and time of your presentation on the website under PROGRAMME (as of 15 March).
•    Please adhere strictly to the allocated time. It is essential that all presentations start at the time stated in the programme timetable.

Presentation preparation
•    Please bring your presentation to the conference on a USB memory stick.
•    The meeting room is equipped with data projection, a laptop (Windows and Apple) and a laser pointer. You may also use your own laptop.
•    Should you need additional audio visual equipment, please notify the Conference Organiser before 15 April 2017.
•    All presentations must be uploaded in the ROTONDE conference hall at least 1 hour before the start of your session (preferably during a break).
•    A technician will be present in the ROTONDE conference hall at all times and will upload the presentations and ensure every speaker is wearing a head-set microphone.

Disclosure requirements
•    All presenters at the CMV 2017 are requested to disclose possible conflicts of interest on the first slide of their presentation.
•    If you have no conflict of interest to declare the first slide of your presentation must include the text: NOTHING TO DISCLOSE.

Before the start of your session
•    Speakers should be in the hall at least 10 minutes before the start of the session.
•    Kindly introduce yourself to one of the session chairs, or ask someone at the registration desk to introduce you.



Two weeks prior to the Conference all registered participants will be sent an email containing a link to a web page on which all the accepted abstracts are published.
A printed abstract book will not be produced.
